About Our Practice

About the Role

We are seeking a detail-oriented, motivated individual to serve as our Client Care Assistant. This person will handle intake calls, manage client paperwork, provide key metrics, and help improve our intake process. The successful candidate will also be involved in our social media marketing efforts and will be expected to maintain strong relationships with our referral network.

Requirements

  • Manage intake calls: respond to phone and email inquiries, schedule intake appointments with appropriate therapists, answer practice-related questions.

  • Check insurance benefits for new and established clients.

  • Manage intake paperwork collection and ensure EHR files are accurate.

  • Provide metrics to the Practice Operations/Administrative Manager on intake stats.

  • Identify areas of improvement in the client intake process and initiate measures to improve.

  • Frequently review and manage referral sources.

  • Assign prospective clients to therapists based on best fit.

  • Build and maintain relationships with our referral network.


  • Perform market analysis and research on the latest trends, as well as competitor marketing and digital content.

  • Attend mandatory staff meetings and training as directed.

  • Maintain high levels of organization and attention to detail; ability to prioritize various projects independently.

  • Exhibit a passion for working collaboratively and helping team members grow and learn.

  • Provide and receive feedback to and from administrative team members.

  • Proactively solve problems and anticipate challenges to mitigate impact on client outcomes.

  • Set goals and develop achievable timelines.

  • Perform other duties as assigned.

Qualifications & Skills

  • Current enrollment in an undergraduate or graduate program for psychology,  communications, or in a similar field.

  • Proven experience in a client-facing or customer service role.

  • Strong knowledge of social media platforms and current trends.

  • Excellent communication and interpersonal skills.

  • Strong organizational skills and high attention to detail.

  • Ability to multitask, prioritize, and manage time effectively.

  • Self-motivated with the ability to work independently and as part of a team.

  • Strong office software such as MS Office, Google Suite, etc.

  • Bonus: Familiarity with CRM platforms
